Surexport: End-to-end digitalisation of the hiring process with biometric signature integrated into SAP

STARTING POINT
Surexport manages thousands of temporary employment contracts in each campaign, distributed across numerous centres and farms.
The entire process was carried out on paper and under complex logistical conditions: on-site signatures, transportation of documentation to central offices, high administrative costs and a lack of visibility regarding which contracts had been signed or were still pending.
This model made scaling difficult, caused delays in onboarding workers and increased the risk of errors or loss of documentation.
CHALLENGE
The company needed to transform a massive, simultaneous and geographically dispersed process into a digital, traceable workflow with full legal validity.
The goal was to eliminate paper, avoid travel, gain real-time visibility and ensure that each worker could sign their documentation securely from any campaign centre.
WHAT HAVE WE DONE?
To transform a highly manual process for the start of each campaign, ImagineRight designed and implemented a comprehensive digital model that integrates SAP, advanced biometric signature and a centralised document repository.
1. SAP–DocuWare–Signaturit integration
We implemented an architecture in which SAP automatically generates contracts and annexes, which are sent to DocuWare for orchestration. From there, metadata, controls and workflows are managed, and the advanced electronic signature process with Signaturit is initiated.
Signatures are carried out on tablets available at the campaign centres and, once completed, the documents are automatically returned to SAP and to the legally valid digital archive, incorporating full process traceability.
SAP automatically generates contracts, annexes and employment documentation.
2. Biometric signature with eIDAS legal validity
The solution complies with Article 26 of eIDAS for advanced electronic signatures. Biometric parameters of the signature trace are captured, such as pressure, acceleration and speed, which are encrypted and time-stamped.
The link between signer and document is unique, and the electronic evidence is stored in accordance with data protection and audit regulations, ensuring the legal robustness of the process.
3. Field operations
The tablets allow each temporary worker to sign their documentation directly at the centre or farm, completely eliminating paper and administrative travel.
HR and coordinators have real-time visibility of the status of all signatures, which speeds up worker onboarding and reduces errors and reprocessing.
RESULTS
Since 01/01/2025, more than 6,500 biometric signatures
have been completed, and the campaign is now operating with a 100% digital process.
